Accounting Assistant
THE OPPORTUNITY
We are seeking a detail-oriented and highly organized Accountant to join our team. As part of the administrative team this role provides direct support to the Finance Manager. The Accounting Assistant will ensure accounting principles are followed in the full cycle processing of Accounts Payable. This role is a vital part of the Finance team assisting with other functions including Accounts Receivable, Balance Sheet account reconciliations, and month-end procedures. The Accounting Assistant will provide customer-focused, professional assistance to Club members via phone, mail, and email when required, and build and maintain relationships with Club staff and Board members, where applicable.
DUTIES AND RESPONSIBILITIES
Interact with members, guests, and employees in a friendly and cooperative manner.
Full cycle Accounts Payable processing.
o Receive and distribute invoices to various departments for approval and G/L allocation.
o Review and verify invoice approval and G/L allocation for incoming expenses and provide related assistance to Managers and staff as needed.
o Record invoices in Jonas Club Management and process EFT and cheque payments according to supplier terms.
o Reconcile vendor statements to ensure accuracy and completeness, including corporate credit card accounts.
Management of Fixed Asset schedules.
Maintain member locker records including annual billing and adjustments.
Accounts Receivable support as needed.
Backup support for Administration Office when required. Answer phones, file documents, collect mail, and other tasks as assigned.
Renewal of licence plates for all Club vehicles.
Maintain Administration office supplies.
Always maintain strict level of confidentiality regarding member and employee information in accordance with privacy and legislative requirements.
Support Patrol radio calls and recording during the ski season.
Support the Member Guest Experience desk during the ski season.
QUALIFICATIONS
Minimum of five (5) years’ experience in an accounting role. Experience in a member-based club or hospitality setting would be an asset.
Successful completion of post-secondary education in accounting or a related field would be preferred.
Strong understanding of accounting principles, general ledgers, and accounts payable processing.
Tech friendly or savvy. Adaptable to new software environments.
o Advanced proficiency in MS Office, especially Excel.
o Experience with Jonas Club Management would be an asset.
High level of critical thinking, analysis, and reasoning.
Ability to meet deadlines with strong judgment and decision-making abilities.
Perform and communicate in a highly professional and effective manner in a fast-paced environment.
Flexible, adaptable, and able to execute a range of job duties and changing priorities.
Excellent written communication skills.
